Guestivity provides hotel booking and property operations software. A hotel normally controls the guest information used to provide a stay; Guestivity processes that information to operate the service and independently controls account, security, support and platform billing records.
Information we use
We process account details, hotel team memberships, property catalogue data, booking and guest contact details, stay dates, messages, operational events, payment references, support records, device information and security logs.
Why we use it
We use information to search availability, create and manage reservations, support check-in and housekeeping, process or record payments, communicate about stays, prevent misuse, meet legal obligations and improve reliability.
Sharing and international transfers
Information may be shared with the booked hotel, authorized hotel personnel and service providers such as hosting, email, location and payment providers. Transfers are protected using the safeguards required for the relevant countries.
Retention and security
Booking and payment records are retained according to hotel, tax, dispute and legal requirements. Access is property-scoped, sensitive keys stay server-side, and operational changes are auditable. No internet service can promise absolute security.
Creator profiles, referrals and earnings
When you create a creator profile, we use your account identity, display name, biography, destinations and channel link to manage partnerships and review publication requests. A profile or collection becomes public only after you request publication and it is approved. Partnership requests, invitations, accepted terms, payment preferences, financial records and private reports are restricted to the relevant participants and authorized staff.
Referral choices
Following a creator link or QR code, or entering a creator code, records the placement, time and referral source so the hotel and creator can measure results. We record known automated traffic separately and use short-lived, protected network identifiers to limit misuse. Creator reports do not expose your network address.
Remembering a referral on your device is optional. If you select it, we store a referral token, hotel identifier and expiry in this browser's local storage. It is used only until the displayed expiry; expired entries are ignored. Clear the “Remember this referral” choice or use “Remove referral” to remove it for that hotel. You can also clear your browser's site storage. Declining device storage does not prevent the referral selected for your current booking from applying.
Lifetime referrals require a separate, explicit choice with a verified traveller account and a qualifying confirmed booking. This stores an account-to-creator relationship for that hotel so eligible later direct bookings can be attributed across signed-in devices. We do not establish that relationship by device fingerprinting or guessed guest identity. Removing a browser referral does not erase an already accepted account relationship or historical financial records. Contact us about access, correction or other privacy requests.
What hotels and creators can see
The relevant hotel and creator see their shared traffic totals, attributed booking references, commission calculations, adjustments, payment reports and receipt acknowledgements. Creator earnings views use booking references and do not expose the traveller's name, email, phone number, private hotel notes or room access instructions. Public marketplace visitors see approved profile and collection content, not private agreements or earnings.
Hotels pay creators through their own provider accounts. Guestivity stores the selected method and the transfer reference, amounts, fees, acknowledgements and discrepancy notes entered by the parties. Recording a transfer does not send funds to a provider. Share payment details directly with the hotel through an appropriate private channel; do not put bank credentials or account numbers in shared receipt notes.
How long referral records are kept
The scheduled retention process removes individual redirect events after 90 days, referral evidence 90 days after its attribution expiry, and daily traffic totals and checkout-start evidence after 730 days. Short-lived network rate-limit records are removed after ten minutes. Booking attribution, accepted lifetime relationships, legal acceptances and financial evidence are retained separately for ongoing contractual, accounting and dispute requirements; they are not deleted by the traffic clean-up process.
These referral choices are separate from optional analytics and support-chat preferences. Third-party analytics or support-chat scripts still require their relevant device consent. Read the creator partnership terms for how referrals and direct payments work.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, restrict or export personal information, and to object or complain to a regulator. Contact the hotel for stay records and Guestivity for platform account or support records.
